TRAVEL AND LODGING LOGISTICS

HOTEL ACCOMMODATIONS

A block of sleeping rooms has been reserved at the Hyatt Dulles, Herndon, Virginia, for arrival on Thursday, February 7 and departure on Saturday February 9. For those of you coming from the West coast and need to stay Saturday night please let me know. Please call the Hyatt Dulles reservations number 1-800-233-1234 or 703-713-1234 and mention your group name NCI/NSF to get the government rate of $119.00/night, single occupancy, plus 6.5% tax; (total: $126.74/night).

Please make your reservations by January 23, 2002. You will need to make your own reservations and guarantee it with a credit card. Be sure to get your confirmation number.

Please note that your hotel bill is payable upon check-out. You will be reimbursed through your Professional Services Contract (PSC). Unfortunately, NCI cannot pay for hotel incidentals such as room service, videos, phone calls, etc.

TRAVEL ARRANGEMENTS

You must make your own travel arrangements through our travel agent, Omega World Travel by calling 1-866-264-8280 or e-mail them at nihmd@owt.net and tell the agent that you are traveling for the National Cancer Institute and the meeting code is NFA 79576. If possible, Omega will issue an electronic ticket (E-ticket). If E-ticketing is not available, your ticket will be sent via Federal Express.

Air travel will be reimbursed only at the government rate. However, if you make more than two changes to your ticket after it has been issued you will be responsible for any service fees from Omega.

If you drive, mileage will be paid at 34.5¢ per mile, not to exceed the cost of round-trip, coach class airfare.

FROM AIRPORT TO HOTEL

Hyatt Dulles Shuttle: You can pick up the free Hyatt Dulles Shuttle from the lower level baggage claim at curbside locations 2A and 2H at the Dulles International Airport. Here is a web site of Dulles Airport if you need http://www.mwaa.com/dulles/index.htm.

Taxi service: Allow approximately 10 minutes from Dulles airport at approximate cost of $15.

By Car: Overnight parking is free for guests.

PER DIEM REIMBURSEMENT

Your hotel, meal and ground transportation expenses for attending this workshop will be reimbursed by the NCI through a Professional Service Contract.

The Professional Service Contract (PSC) will cover you for lodging at $126.74 for lodging at the Hyatt Dulles, plus $34.50 maximum for meals on Thursday, February 7, $35.00 maximum for meals on Friday, February 8, and $23.50 maximum for meals Saturday, February 9. You will receive up to $120 for ground transportation for the entire trip. RECEIPTS are required for ground transportation over $75. Please keep track of your expenses for ground transportation and meals and e-mail Pat Schrock at ps64k@nih.gov at the end of your trip or Fax 301- 480-5785 an itemized list. If you have any questions regarding your reimbursement call her at 301-496-6112 or e-mail her.

Please complete the ACH direct deposit form and fax it back to Teresa Morgan at 301-402-4684 no later than 2 weeks prior to the meeting.
